MEDIA PROGRAMME

Please check the event programme for the schedule of events. The detailed media programme (pdf) also includes pools departures and other technical details.

The Media Handbook prepared by the Host Nation Lithuania provides you with practical information about transport, visual opportunities while in Vilnius etc.

VENUES

On 11-12 July 2023, the NATO Summit will take place at LITEXPO – the Lithuanian Exhibition and Congress Centre. The meetings will be chaired by the Secretary General, Jens Stoltenberg.

On July 11 2023, the President of the Republic of Lithuanian Gitanas Nausėda will host the Heads of State and Government for a social dinner at the Presidential Palace in Vilnius. On the same evening, a social dinner of the Ministers of Foreign Affairs and Ministers of Defence will take place at the Grand Dukes’ Palace in Vilnius.

KEY MEDIA LOCATIONS

LITEXPO is also the location of the International Media Centre. Media can only access the Summit venue via the Media Accreditation Office.

The Media Accreditation Office is at the Visitor Centre of the Seimas (Parliament of Lithuania), Gedimino av. 60, 01109, Vilnius, Lithuania.

ACCREDITATION

Registrations for media accreditation are closed. Accredited media representatives are receiving confirmations.

You will receive your NATO Summit media pass at the Accreditation Office. You will be asked to show a valid national identification document (Passport or ID-card) and press card (or accreditation letter from a recognised media organisation). Security personnel may ask to see another form of ID. You will need to bring the same ID document that you used in your accreditation application.

Please arrive early to clear security checks.

Accredited representatives from broadcast media can bring bulky equipment to the Media Centre by appointment on July 9. Please contact media.bookings@vilniussummit.lt to book an appointment. 

ACCESS

Media can access the Media Centre only via a dedicated shuttle bus service, which will operate on 9-12 July during the Media Centre opening hours. You will NOT be able to come to LITEXPO by any other transport.

Please wear the NATO Summit media pass visibly while boarding the bus.

The shuttle buses will depart from / return to 1 A. Tumėnas Street (400 meters from the Accreditation Office). Upon arrival at LITEXPO, media representatives will walk approx. 300 m from the disembarkation point to the Media Centre. Before entering the Media Centre, accredited media will go through physical security screening.

Media representatives should foresee at least 45 min for in-processing, security checks and transportation from the Accreditation Office to the Summit venue.

The Host Nation has arranged a shuttle bus system between Vilnius Airport, recommended media hotels and the media Accreditation Office.  A separate shuttle bus between the Media centre and Vilnius airport will operate on 12 July in the afternoon.

Details about the shuttle bus schedule as well as general transport in / to Vilnius are available in the Media Handbook, at the Information Desk in the Media Centre, and in the Accreditations Office.

At the Summit location, media representatives will have unescorted access to the following media facilities:

  • Filing area
  • Press conference area – only during the timeframes when national press conferences are taking place
  • Media huddle area
  • Outdoor stand-up positions 
  • Catering area
  • Satellite vans parking area

Media can access the bilateral area to cover bilateral meetings, only if they are accompanied by a representative of a national delegation. For details about bilateral events, please contact the delegations concerned.

Access to most Summit events for media coverage will be possible only for media part of media pools, escorted.

MEDIA CENTRE - FACILITIES

The Media Centre includes:

  • A general working area, including TV and radio editing areas. Office furniture, electricity (230V with European plug sockets), TV screens for CCTV will be available throughout.
  • A press conference area, including a press theatre, 11 briefing rooms and several positions for informal media huddles.
  • An information desk and access to the NATO and Lithuanian media teams.
  • Outdoor and indoor stand-up positions

Working space in the Media Centre's general working area does not need to be pre-booked and is available on first-come, first-served basis.

Spaces in the editing area, TV/radio editing booths, as well as outdoor and indoor stand-up positions, require pre-booking. Booking is now closed. Please contact newsevents@eurovision.net for details and set up. 

WiFi and wired Internet, video and audio distribution points and standard European electrical outlets will be available at the media centre and media facilities. The WiFi network for media: NATOPress

BROADCAST

The Host Broadcaster will deliver a single high quality HD/SDI signal (1080i50 audio embedded) live to the Media Centre for all Summit media events, free of charge. Multiple live signals will be provided of key moments, such as arrivals, the official photo, doorstep remarks and press conferences. The feed will be available live, without added graphics or text inserts, throughout the general working area and in the editing booths.

In the TV editing booths there will be several feeds, provided by the Host TV (1 BNC termination outputs with 8 HOST signals switchable via the control panel). The booths will also be equipped with a multi-view screen with 3 + 1 (switchable) feeds.

In the radio booths, the audios are available also with XLR termination in AES standard.

Media is expected to provide themselves with any peripherals needed including BNC, XLR leads, and any BNC-SDI embedders/de-embedders.

The live programme signal will also be shown on closed circuit television screens (CCTV) throughout the media centre and Summit site, via the NATO website, and via satellite.

A fully equipped TV studio wired for live transmission is also available, but only for engagements with Leaders. Booking requests can be sent to: broadcastoperations@hq.nato.int

POOLS

Coverage of most Summit events will be pooled.  Pool opportunities include: arrivals, doorsteps, public opening remarks at meetings of the North Atlantic Council, the official photo, etc. Press conferences of the Secretary General will be open to all accredited media.

Pool cards will be distributed by NATO, upon request and based on  space availability. Only photographers and videographers will be part of the pools covering the opening remarks of the meetings and the official photo. Reporters (written press) can also join their visual colleagues in the pools for doorsteps.

To request access to pools, please email Summitmediaoperations@hq.nato.int. You will receive a confirmation if your request is approved, together with the details for picking up your pool cards.

NATIONAL MEDIA ENGAGEMENTS

The participating Heads of State and Government may hold press conferences in the Media Centre. If those are open to all media, time and location will be announced on the CCTV.

OFF-SITE EVENTS

SOCIAL DINNER FOR HEADS OF STATE AND GOVERNMENT

On 11 July 2023, the President of the Republic of Lithuania, Gitanas Nausėda, will host NATO Heads of State and Governments for a social dinner at the Presidential Palace in Vilnius.

A pool of Summit-accredited media representatives will be organized to cover the arrivals of the leaders. To request access to the pool, accredited media representatives must fill in this form.

Media representatives registered for the pool will be transferred to the Presidential Palace only from the Media Centre. Further information will be available at the Media Centre on the day of the event.

Please note that the pool from the Media Centre to the Presidential Palace will depart well in advance before the start of the event.

Coverage of the arrivals by the Host TV will available live in the Media Centre and available for download.

SPOUSES programme

A special programme, hosted by the First Lady of Lithuania Diana Nausėdienė and the wife of the NATO Secretary General Ingrid Schulerud, will be organized for the spouses and partners of the Heads of State and Government. There will be media pools organized to cover some parts of the programme.

Wednesday, June 12

09:00 - Visit to Ukrainian Center (T. Ševčenkos 31), hosted by the First Lady of Lithuania Diana Nausėdienė and the First Lady of Ukraine Olena Zelenska.

A media pool will cover the start of the visit. For access, accredited media representatives must fill in this form.  

12:00 - Family photo of the Spouses and Partners in front of the Palace of the Grand Dukes of Lithuania (Katedros Square 4).

A media pool will be pre-positioned in front of the Palace. For access, accredited media representatives must fill in this form.

For both events, media representatives are expected to arrive on their own, at least one hour before the event to go through security check. Please note that no media will be allowed to enter the venue. Photos and video material will be distributed by the Host Nation.

NATO PUBLIC FORUM

The NATO Public Forum is taking place on July 11-12, 2023. NATO Secretary General Jens Stoltenberg will open the event. President of the Republic of Lithuania Gitanas Nausėda and other Allied Heads of State and Government, ministers and international experts will also take part in the Public Forum and address the participants.

Accreditation for the NATO Summit does not give access to this event, but journalists can follow this live online, or register to participate online to take part in the conversation.

The Public Forum will be streamed live on NATO YouTube channel and on the co-organizers' websites. The live feed will also be available in the Media centre.

CONTENT

Transcripts of the Secretary General's public remarks, as well as pictures taken by NATO photographers will be available on the NATO website www.nato.int.

CATERING

Meals, soft drinks and snacks will be available for purchase throughout opening hours of the Media Centre. Payments by international credit cards and in cash will be accepted.

Three complimentary meals (lunch & dinner on July 11 and lunch on July 12) will be provided in the Media Centre. Tea, coffee and water will be available free of charge during the opening hours of the Media Centre.

INTERPRETATION

There will be simultaneous interpretation into French, Russian and Ukrainian of the NATO Secretary General's press conferences, his doorsteps and public remarks to open the Summit working sessions. Headsets will be available in the press conference room for Secretary General's press conferences. Interpretation in multiple languages will also available during the live-streaming on the NATO website.

SECURITY

It is strongly recommended to arrive early to clear security checks. Please comply with the instructions of security staff. Passes must be visible at all times.
